Have you ever considered the underlying reason for the team member’s interruptions? It’s important to recognize that their behavior might be driven by a need for attention or recognition. Understanding this can guide your approach with empathy and without passing judgment. Here are some steps you can take:

1. Allocating Dedicated Speaking Time:

Once you grasp the insight of this behavior, simply ignoring their behavior isn’t the solution. You can go about it in two ways:

  1. Have a word with them while first appreciating their initiative and enthusiasm to participate. 
  2. Then share with them that proactiveness is a valuable trait if used well it can make you rise as a leader but when used wrongly it can make people misinterpret you as well. 
  3. I want you to grow and I have some suggestions for you if you would like me to guide you.
  4. Then guide them: Tell them that its important to not look like you are interrupting while you share ideas for that I would like to allocate specific time for you to ask questions or contribute ideas but I would like you to not barge into an ongoing conversation. Is that okay with you? Make sure to take affirmative response to this as a commitment to their behavior in the future.

2. Always remember to start on a Positive Note:

Highlight the positive aspects of their contributions before discussing the issue. This helps maintain their confidence and motivation.

3. Celebrating Progress:

Once they begin implementing suggested changes and show improvement, be sure to recognize and appreciate their efforts. Positive reinforcement is incredibly effective in motivating team members to continue striving for excellence.

 

If on the other hand, you are dealing with someone you cant have this conversation with then before you begin with the meeting –

  1. Lay ground rules- specify the structure of your meeting; mention how you would conduct the meeting and specifically mention that you are allocating a separate section dedicated to Q and A and idea generation and if everyone could note down their queries if they have any during the presentation/ meetings. Specify how much time you would take to conclude your points/ break the meeting into separate sections and their Q and A’s

By addressing the issue smartly and proactively, you can help mitigate disruptions in meetings and foster a more collaborative and productive team environment.
